Dance Crew Showdown - Terms and Conditions
These Terms and Conditions ("Terms") govern participation in the ampX@ComplexCon HK 2026 Dance Crew Showdown ("Competition"), organized by OOO Collective Limited ("Organizer"). By submitting an application, all participants agree to comply with these Terms in full.
===== PART A: COMPETITION RULES =====
SECTION 1: COMPETITION STRUCTURE AND REQUIREMENTS
1.1 Competition Format
The Competition consists of two stages:
Stage 1: Video Submission (Preliminary Round)
- Crews from outside of Hong Kong are welcome to participate in the Competition. However, shortlisted crews to the Live Finals from outside of Hong Kong are fully responsible for their own travel arrangements, accommodation, visas, and any related expenses. The Organizer will not provide financial or logistical support for travel or accommodation.
- Crews must submit a URL link with viewing access to the dance video (“Dance Video”).
- Dance Video must feature the registered dancers who are going to dance at the Finals if shortlisted for that crew
- The Organizer will shortlist crews to advance to the Finals
- Stage 1 Video Submission Deadline: 4 March 2026, 23:59 HKT
Stage 2: Live Finals (“Finals”)
- Shortlisted crews will compete live at ComplexCon Hong Kong in Asia World Expo on 22 March 2026
- Location: Complex Live! Performance & Experience Zone (NOT the Main Stage)
- Performance duration: Maximum 3 minutes
- Performance can be different from the Video Submission
1.2 Stage 1 Video Submission Requirements
- Only registered dancers may appear in the Dance Video
- Video naming convention: "[CrewName]_[Date]"
- Videos can be recorded from other previous dance competitions / performances / practices
- Timestamp of submission is based on the Organizer's system time, not the participant's local time
- Technical Issues: The Organizer is not responsible for rejected submissions due to technical incompatibility. Participants should test their video link before submission. No extension of deadlines shall be permitted due to technical difficulties.
1.3 Stage 2 Performance Rules for Finals
- Maximum performance duration: 3 minutes
- Performance routine can be different from the Video Submission
- All performances must retain at least 80% of the original dancers from the Dance Video Submission (see Clause 3.4 for substitution rules)
- Performance style must be relevant to street / commercial or hip hop dance culture
with final decision remains with the Organizer
- No music change is allowed beyond 11 March 2026, 23:59 HKT
1.4 Live Final Judging Criteria
- Performances will be evaluated based on:
- Choreography
- Execution / Technical skill
- Stage presence and performance quality
- Creativity and originality
- Overall impact
A panel of 3 judges will evaluate the live performance. All judges are independent and impartial. Scores are confidential until results are announced.
IMPORTANT: Competition results are FINAL and BINDING. No appeals or disputes regarding results will be entertained.
1.5 Prizes and Awards
- The winning team will be invited to perform as the pre-show act on the Complex Live! Main Stage. Should the winning team be unable to perform for any reason whatsoever, the Organizer reserves the right to invite the next highest‑placed team to perform in its place.
- Further details regarding prizes and performance arrangements will be announced by the Organizer in due course.
SECTION 2: IMPORTANT INFORMATION (Must Read)
2.1 Important Deadlines
- Stage 1 Video Submission Deadline: 4 March 2026, 23:59 HKT
- Stage 1 Payment Deadline: 4 March 2026, 23:59 HKT
- Shortlisted Finalists Notification: 5 - 6 March 2026
- Stage 2 Payment Deadline: 11 March 2026, 23:59 HKT
- Music Submission Deadline: No music changes allowed beyond 11 March 2026, 23:59 HKT
- Finals: 22 March 2026 at Complex Live! Performance & Experience Zone (ComplexCon HK - Asia World Expo)
2.2 Fees and Payments
- Stage 1 Application Fee: HKD $288 per Video Submission
- Stage 2 Finals Participation Fee: HKD $288 per Finalist dancer (eg, if the crew has 3 members, Finals Participation Fee for the crew will be HKD $288 x 3 = HKD $864). Each Finalist dancer and each crew’s choreographer or the coach (maximum one) who paid Finals Participation Fee is entitled to a complimentary Marketplace GA ticket (valued at HKD $488) for the date of the Finals on 22 March 2026
- All fees are NON-REFUNDABLE under any circumstances
- Payment must be completed by 11 March 2026, 23:59 HKT
- A handling fee of 5% will be charged per transaction
2.3 Eligibility Requirements
- Each dancer must be 10 years old or above as at 22 March 2026
- The competition is open-level (no professional or experience restrictions)
- Each crew must consist of 2 to 20 members
- All dancers must be listed in the application form, and 80% of them must be the same performers appearing in the Video Submission and, if shortlisted, 80% of them must appear in the live Finals (subject to limited substitution conditions in Clause 3.4)
- The submission piece should be appealing to the participants of ComplexCon HK - final decision remains with the Organizer
SECTION 3: RULES AND CONDUCT
3.1 Participant Conduct
- Participants must demonstrate professionalism and respect towards other crews, event staff, and audiences. Any inappropriate, unsafe, or offensive behavior, including use of explicit language or gestures, may result in disqualification at the Organizer's sole discretion.
3.2 Prohibited Content
- The following content is strictly prohibited in performances, videos, music, and all competition-related materials:
i. Costumes and Props:
- Nudity
- Hate symbols
- Dangerous items or props that could or appear to harm performers or the audience
ii. General Themes:
- Hate speech or content demeaning individuals/groups based on race, religion, gender, etc.
- Political propaganda or divisive messaging Violations will result in immediate disqualification without refund.
3.3 Music and Intellectual Property
- All music used must not infringe on any intellectual property rights of third parties
- Participants are solely responsible for obtaining all necessary music rights and clearances including but not limited to public performance licenses.
- Participants must ensure that choreography and music choices do not infringe copyrights
- Content violating intellectual property rights will result in disqualification without refund.
3.4 Dancer Substitution Rules
- Participants must maintain at least 80% of the dancers from the Video Submission:
- Calculate allowed substitutions: Total dancers × 20% = Maximum substitutions (rounded down). For example: 18 dancers × 20% = 3.6, rounded down = 3 maximum substitutions allowed
- The Organizer should be notified of the substitution
SECTION 4: LOGISTICS AND SAFETY
4.1 Safety and Insurance
- Participants attend and perform at their own risk
- All participants must have appropriate personal accident and medical insurance. The Organizer is not liable for any injuries, accidents, or health issues arising from participation
- Participants must follow all safety guidelines provided by the Organizer as well as the rules and policies of the venue and SV Two Live (HK).
4.2 Props and Equipment
- Props and equipment are limited to items brought by the crew
- The Organizer will not provide rental or supply of props/equipment
- All props, music files, and other submissions must be provided in the format and technical specifications required by the Organizer.
- All props must be pre-approved by the Organizer by 14 MAR 2026, 23:59 HKT
- Props must not contribute to any safety risks to performers, staff, or audience and must not be obscene, offensive or otherwise inappropriate
4.3 Access and schedule
- Holding Area access will be limited and controlled
- All crews must adhere to the announced schedule and procedures

SECTION 5: ADMINISTRATION AND COMMUNICATION
5.1 Contact Person and Representative Designation
- Each crew must designate one individual as the "Contact Person" or primary representative
- The Contact Person must be at least 18 years of age
- Only the Contact Person has the authority to:
- Submit the application and acceptance of these Terms
- Make changes to the crew member roster (subject to the Organizer’s
approval and adhering to the 80% retention requirement)
- Receive official communication from the Organizer
- The Contact Person is responsible for ensuring all crew members comply with these Terms
- The Contact Person's contact information (email and mobile number) must be provided and kept up to date
- Changes to the designated Contact Person must be submitted in writing to the Organizer at least 5 days before the Finals
5.2 Notification Procedures and Communication
Official Communication:
- The Organizer communicates with crews exclusively through the registered Contact Person's email and mobile number
- All official announcements, results, and important information will be sent to the email address provided at registration
- The Contact Person of the Crew is responsible for monitoring email regularly throughout the Competition
Shortlist Notification (Stage 1):
- Shortlisted crews will be contacted individually between 5 - 6 March 2026
- Notification method: Email and/or WhatsApp to the Contact Person's provided contact information
SECTION 6: INTELLECTUAL PROPERTY AND PRIVACY
6.1 Intellectual Property and Media Rights
- All participants grant the Organizer and its assigns including SV Two Live (HK), the organizer of ComplexCon HK the perpetual, royalty-free right to record, broadcast, film, photograph, and use their performances, names, and likenesses for promotional, archival, and marketing purposes across any media
- This permission cannot be withdrawn once participation has commenced
- Participants waive any right to review or approve the finished product or any promotional materials
- No additional compensation will be provided for the use of participant’s likenesses or performances
6.2 Data Protection and Privacy Compliance (PDPO)
- OOO Collective Limited collects personal data from participants in accordance with Hong Kong's Personal Data Protection Ordinance (PDPO)
- Personal data collected includes: names, dates of birth, contact information, and emergency contact details
- This data will be used solely for competition administration, communication, and safety purposes
- Data will not be shared with third parties except where necessary for event logistics (judges, security, medical staff) or legally required
- Participants have the right to access, correct, or request deletion of their personal data by contacting the Organizer in writing
- Data retention: Personal data will be retained for 12 months after the Competition and then securely destroyed
- Participants may opt out of marketing emails, but cannot opt out of essential competition communications
- The Organizer is not liable for data loss or unauthorized access due to third-party interference or force majeure
- Participant’s consent to these data handling practices is mandatory to participate in the Competition
SECTION 7: ORGANIZER RIGHTS AND RESPONSIBILITIES
7.1 Competition Results and Decisions
- All Competition results are FINAL and BINDING
- No appeals or disputes regarding results will be entertained
- The Organizer's decisions on all matters relating to the Competition are final
- Judges' scores and deliberations are confidential
7.2 Cancellation and Rescheduling
- The Organizer reserves the right to cancel, postpone, or reschedule the Competition due to circumstances beyond reasonable control
- The Organizer will provide reasonable notice of any changes
- The Organizer has the right to disqualify any crew for rule violations
- The Organizer is not liable for unforeseen circumstances affecting the Competition
7.3 Participant Responsibilities
- Participants must follow all health and safety requirements requested by the Organizer
- Participants must comply with venue regulations at ComplexCon HK
- Participants must maintain their equipment and props
- Participants must arrive on time for all scheduled activities
- Participants must not misrepresent themselves or provide false information
7.4 Amendments and Rule Changes
- The Organizer reserves the right to amend these Terms with reasonable notice
- Continued participation constitutes acceptance of amendments
- Participants should check for updates regularly
SECTION 8: LIABILITY AND LEGAL MATTERS
8.1 Termination and Withdrawal
- The Organizer may terminate a crew's participation for violations of these Terms
- No refunds will be provided upon termination
- If a crew voluntarily withdraws, no refunds will be provided
- All fees are non-refundable under any circumstances
8.2 Force Majeure
- The Organizer is not liable for circumstances beyond its reasonable control
- Force majeure events include but are not limited to: natural disasters, pandemics, epidemics, government actions, war, terrorism, civil unrest, strikes, or severe weather
- The Organizer may cancel or postpone the Competition without liability in such circumstances
- No refunds will be provided for force majeure cancellations
8.3 Limitation of Liability
- The Organizer is not liable for any injuries, loss, damages, or expenses arising from participation
- Participants assume all risks and liability associated with participation
- The Organizer is not liable for technical failures, equipment malfunctions, or third-party actions
- The maximum liability of the Organizer to each participant is limited to the amount of fees paid by the participant.
- Participants acknowledge that SV Two Live (HK) is not the Competition sponsor. Participants waive any and all claims they have or may have against SV Two Live (HK) or its affiliates related to the Competition and/or Participants’ appearance at Complexcon HK.
8.4 Governing Law and Jurisdiction
- These Terms are governed by the laws of Hong Kong
- Hong Kong courts have exclusive jurisdiction over any disputes
- Any disputes must be resolved under Hong Kong law
- Participants consent to the jurisdiction of Hong Kong courts
